The MBA must be an adaptive planner with the ability to build realistic completion schedules, communicate clearly, and smoothly navigate various tasks across multiple disciplines within the department. The MPM must possess strong verbal and written communication skills; a capability for process thinking; collaborative skills; process training skills; a high level of professionalism; and personal organization.
Primary Responsibilities:
1.Serve as the liaison between the Marketing Managers and the creative/production teams for getting high-quality work completed for Division and Strategic Partners in a timely manner
2.Understand the project goals and budgets for various Partners
3.Navigate the movement of all jobs through all members of the team
4.Utilize Wrike project management software (WPMS) to:
– Organize, schedule and assign tasks for all work throughout the department
– Communicate with team
– Monitor progress of projects
– Enforce deadlines
5.Participate in ongoing communications with the Marketing Managers to ensure Partner expectations are being met
6.Regularly analyze process efficiencies and present optimizations to Department leadership for consideration
7.When applicable, meet with the appropriate strategic team members to understand goals, tactics and challenges of each project
8.Open and maintain all projects and tasks in the WPMS
9.Review tasks daily and verbally communicate priorities with team members either through the DCI meeting or independently
10.Communicate daily with Marketing Managers about the current status of all projects
11.Notify MAM(s) when it’s necessary to contact Partners for any materials, information, etc., required to complete scheduled projects
12.Produce an end-of-week status report to advise Department leaders of achievements and challenges, including turn-around overview.
13.Review all submissions through the digital Project Request Form, acknowledge receipt of the request, and coordinate with Marketing Managers and/or specific team members to complete requests
14.Expedite all “crisis jobs.” Majority of work should flow through on a reasonable time basis.
15.Promptly report any problems affecting job quality, due dates or costs to Marketing Managers.
16.Work with Marketing Managers and creative/production team in selecting vendors based on skillset, quality control, budget, timing, etc.
17.Obtain quotes from partners, freelancers, and other vendors as required
18.Coordinates all Partner changes with creative/production team and proofs work to make sure all changes are completed before turning it over to Marketing Managers.
19.Notify Marketing Managers when internally approved copy, layouts, etc., are ready for Partner approval
20.Issue purchase orders to vendors for all outside or contracted services
21.Ensure all files are backed-up according to the Department archiving process
22.Manage changes to schedules and task assignments via WPMS
23.Maintain highest possible understanding of WPMS – become the expert
24.Train new staff on appropriate processes and use of WPMS
25.Communicate with Department leadership regarding training needs to further advance professional skills, or hardware/software upgrades to keep the department on the leading edge
26.Demonstrate proactive problem solving and flexibility for unforeseen project interruptions
